Software Procurement

ITAS encourages all departments to consult with the Computer Support Center (CSC) prior to any software purchase. By discussing your plans and needs with the CSC, we can help ensure that all purchases are compatible with the assigned user, that popper versions are selected, and that licenses are managed appropriately.

Many popular applications may be purchased through the department of Information Technology Acquisitions (ITA):

 Apple App Store/iTunes Store

Anyone familiar with using the Apple App Store/iTunes Store understands that Apple ties all purchases to a specific Apple ID/iTunes Account. As such, it is critical that users negotiate all Apple software purchases though the Compute Support Center (CSC), as our department has the ability to assist in the management and reclamation of licenses.

Any software purchased on the App Store, using university/department funds, must be assigned to a Virginia Tech affiliated Apple ID (i.e., one that uses an @vt.edu email address). Further, we strongly recommend that all departments involved in purchasing Apple App Store products create or use an existing general inbox or email account alias to create their Apple ID. For example, if John Smith in department ABC needs an App Store purchase for work, the account assigned the license should look like ABCApps@vt.edu -- an alias that can be reassigned to another user if needed and used for a departmental Apple ID that can authorize multiple devices.

The objective of this process is to avoid losing licensed software by associating the purchase with personal Apple ID accounts or individual VT user accounts, in the event that the user leaves the department or university.

 Google Play/Android Apps

As with our procedures and recommendations concerning Apple App Store purchases, ITAS strongly encourages all departments purchasing software for Android devices (through the Google Play store) to consult with the Computer Support Center (CSC) before completing any transactions. Again, this is to ensure that all departmental software remains associated and available to said department, in the event than an employees leaves the department or university.
